For our Luxembourg office, we are currently looking for an HR Operations & Administrative Support Trainee under a work-study program to support our HR team and contribute to the smooth running of our people-related processes.
Your role
As an HR Operations & Administrative Support Trainee, you will provide hands-on operational support to the HR team and work closely with other Business Support teams. This role offers a broad exposure to HR administration, recruitment, onboarding and internal activities, making it an excellent opportunity to build a solid foundation in Human Resources within an international law firm.
Your responsibilities
HR administration & general support
·Provide day-to-day administrative support to the HR team and other Business Support teams.
·Maintain and update HR databases, lists and employee files.
·Assist with the organisation, filing and archiving of HR documentation.
·Prepare standard HR documents based on templates (employment certificates, internship attestations, confirmations, etc.).
·Support basic HR correspondence (emails, letters, internal communications).
·Ensure accuracy, completeness and confidentiality of HR records.
Recruitment & onboarding support
·Assist with the publication of job openings on selected platforms.
·Support CV screening based on predefined criteria.
·Coordinate interview schedules and communicate with candidates.
·Prepare interview folders, candidate summaries and supporting documents.
·Help prepare onboarding materials (badges, access cards, welcome packs).
·Coordinate onboarding logistics (IT setup, meetings, induction schedules).
·Support the HR team during induction days (room setup, sign-in sheets, presentations).
Training, events & internal communication
·Support the logistics of internal trainings (rooms, invitations, attendance lists).
·Assist in organising internal events and staff activities.
·Provide support for internal HR-related communications.
·Conduct basic HR research and support recruitment and employer branding activities, including events and job fairs.
Your profile
·Strong communication skills in French and a good command of English.
·Well organised, detail-oriented and able to work accurately under deadlines.
·Comfortable following procedures and instructions in a structured environment.
·Interest in Human Resources; basic knowledge of employment regulations is an asset.
·Proficient in common office tools (Word, Excel, PDF, Adobe).
·Discreet, reliable and trustworthy when handling confidential information.
